Use these as your guide. Practice them until they feel natural.
These are sample scripts for your outbound calls to dental offices. You are calling to introduce ODS, promote our Zoom training classes and products, and — most importantly — get the doctor's email address. Practice all scripts out loud.
Opening: "Hi, this is [Your Name] calling from Optimal Dental Solutions. May I please speak with Dr. [Last Name]?"
[If connected to doctor:]
"Dr. [Last Name], thank you so much for taking my call. I'm reaching out because ODS offers Zoom-based training classes specifically designed for dental practices — covering front office operations, team communication, and systems management. We also carry products that many dental offices have found really helpful.
I'd love to send you some information — would it be okay if I got your email address so we can send you details on our upcoming classes and a product overview? It takes just a second and there's no obligation."
[If doctor gives email:]
"Perfect, thank you! I'll make sure Melanie Flores, our Director of Operations, gets this to you right away. Have a great day!"
📝 LOG IT: Record doctor's name, email obtained, date and time.
"Hi! This is [Your Name] from Optimal Dental Solutions. I was hoping to speak with the doctor — is he or she available today?"
[If not available:]
"No problem at all! Could I ask who I'm speaking with? ... Great, thank you [Name]. I'm calling to share information about our Zoom training programs for dental offices — Dr. [Last Name]'s practice may really benefit from what we offer.
Is there an email address I can send information to, ideally the doctor's? We just want to share what's available — no pressure at all."
[If they give an email:]
"Thank you so much, [Name]! I'll have our Director reach out. Have a great day!"
[If they won't give email:]
"I completely understand. May I call back at a better time? When is the doctor usually available?"
📝 LOG IT: Record contact name and title, whether email was obtained, callback time if given.
"Hi, this message is for Dr. [Last Name]. My name is [Your Name] and I'm calling from Optimal Dental Solutions. We specialize in Zoom-based training programs and operational products for dental practices, and I'd love the opportunity to share some information with you.
Please feel free to call me back at [Your Number], or I'll try reaching you again soon. Thank you and have a wonderful day!"
📝 LOG IT: Write "Left voicemail" in your call log. Include date and time.
Handling Objections
| If They Say... | You Can Say... |
| "We're not interested." | "I completely understand. I just wanted to make sure you knew about our Zoom classes — they're quick, affordable, and designed specifically for dental teams. If anything changes, feel free to reach out!" |
| "We already have training." | "That's great to hear! ODS classes complement existing programs — focused specifically on operations and systems. Could I send you a quick overview just to have on file?" |
| "Send something in writing." | "Absolutely! What's the best email to send that to?" |
| "The doctor is too busy." | "Of course — I won't take up much time. Is there a better day or time to reach Dr. [Name] for just a quick two-minute call?" |
📋 Daily Reminder
Every call — regardless of outcome — must be logged before your shift ends. Even if no one answered. Even if you left a voicemail. Melanie reviews all logs. Your documentation is part of your performance.
